iCalendar & vCard Email Attachments

Appointments and contact details as attachments, ready to import into any calendar

This feature attaches appointment and contact files to the emails sent by the booking system. Recipients can add appointments to their calendar and import contact details quickly.

How it works

  1. Activate the attachments in the email settings.
  2. Choose which file types are sent (iCalendar, vCard or both).
  3. Enter the provider's contact details for the vCard (name, address, phone, website etc.).
  4. For every booking the system automatically creates:
    • an iCalendar file with the date, time, duration, location and description of the appointment
    • a vCard with the stored contact details (if selected)
  5. The files are attached to the customer's confirmation email and to the operator's notification.

What the files contain

iCalendar (.ics): appointment start, end, time zone, location, subject and notes. Can be imported into Outlook, Google Calendar, Apple Calendar and other calendar programs.

vCard (.vcf): first name, last name, company, title, street, postal code, city, country, phone and website. Suitable for creating a contact directly on smartphones and desktop clients.

Practical example

A customer books online. The confirmation email contains an attached .ics file. The customer clicks the attachment and adds the appointment to their calendar. In addition, the vCard can be opened and saved as a contact. The operator receives the same .ics file and the customer's vCard in their notification email.

Security and format

The files are generated in the standard format. Personal data is only sent to recipients specified in the booking. Check in the settings which data the vCard should contain.
