Manage all customer data, bookings and exports in the admin area

Customer management is the central administrative area of an appointment scheduling system, where the operator can maintain, search, analyze and manage all customer data. It forms the backbone of organizational workflows and makes it possible to keep track of hundreds or thousands of customer profiles. Unlike the customer account, which is available to the customers themselves, customer management is a pure admin tool with extended permissions and functions.

Core functions

  • Advanced search: Quickly find customers by name, email address, phone number, customer number or custom form fields
  • Detail view per customer: Complete overview of all stored data, booking history, notes, payment status and communication history
  • Booking history: View all past, current and future bookings of a customer with date, time, appointment type, status and outcome
  • Manual bookings: The operator can create, reschedule or cancel appointments on behalf of customers, for example for phone inquiries or walk-in customers
  • Data editing: Customer data can be corrected or supplemented later (e.g. a new phone number, an updated address)
  • GDPR-compliant deletion: On request, customers can be completely removed from the system, including all personal data
  • Notes: Internal notes on individual customers (e.g. "Prefers morning appointments", "Pays cash", "Special requirements")
  • Customer groups and tags: Customers can be assigned to categories (e.g. VIP customer, regular customer, new customer) for targeted outreach
  • Bulk export: Export all or filtered customer data as CSV, Excel or to email marketing tools (e.g. Mailchimp)

Search filters and segmentation

Modern customer management tools offer extensive filtering options:

  • Customers by booking period (e.g. all customers who booked in the last year)
  • Customers by appointment type (e.g. all customers who booked a specific service)
  • Customers by status (e.g. active, inactive, blocked customers)
  • Customers by payment status (e.g. open invoices, prepayment made)
  • Customers by booking frequency (e.g. one-time customers vs. regular customers)

This segmentation is particularly valuable for targeted marketing campaigns, such as customer reactivation or seasonal offers.

Integration with CRM systems

For professional users, customer management can be synchronized with external CRM systems such as Salesforce, HubSpot or Pipedrive. Booking data then flows automatically into the central CRM, where it is merged with other customer data (e.g. sales opportunities, support tickets, marketing interactions). The result is a 360-degree view of the customer that goes far beyond appointment booking alone.

Data protection and access rights

Customer management contains sensitive personal data and is subject to strict data protection requirements. The operator must ensure that:

  • Only authorized staff have access to customer data
  • Access rights can be controlled at a granular level (e.g. staff member A may only view bookings, staff member B may also edit data)
  • All access is logged (audit log) so that misuse can be traced
  • Customers can obtain information about their stored data at any time (GDPR Art. 15)
  • Customers can easily exercise their right to erasure (GDPR Art. 17)

Many systems therefore offer a "GDPR mode" in which customers are deleted completely with one click, including all bookings, notes and communication history. Only anonymized statistical data (e.g. "One booking on March 15, 2025") is retained.

Bulk operations

With large customer databases, bulk actions are indispensable:

  • Bulk email: All filtered customers can be contacted at once (e.g. seasonal greetings, offers)
  • Bulk deletion: Inactive customers who have not booked for years can be removed in one go
  • Bulk import: Customer data from other systems (e.g. Excel, CRM) can be imported via CSV upload
  • Bulk tagging: Assign a specific tag to several customers at the same time

Analysis and statistics

Customer management is often linked to the statistics module and delivers valuable insights:

  • Average booking frequency per customer
  • Customer Lifetime Value (CLV): total revenue per customer
  • Distribution of new vs. regular customers
  • Churn rate: how many customers become inactive?
  • Geographic distribution of customers (if address data is collected)

Typical workflows

Customer management is used in various situations:

  • Phone inquiries: A customer calls, a staff member looks up the profile and creates a booking manually
  • Troubleshooting: A customer reports that their appointment is missing from the confirmation. A staff member checks the system and corrects it
  • Marketing campaign: Export all customers who booked a specific service in the last 6 months for a targeted email campaign
  • GDPR request: A customer requests deletion of their data. A staff member deletes the profile via customer management

Difference from the customer account

While the customer account gives customers self-service, customer management is the admin interface with extended rights. In their account, customers can only see and edit their own data, whereas the operator in customer management has access to all customers and can make far-reaching changes.

  • Regular data maintenance: Clean up inactive or outdated customer profiles
  • Use notes wisely: Document important information that is relevant for the next booking
  • Build segmentation: Tag customers systematically to enable targeted campaigns
  • Grant access rights restrictively: Only staff who need it should have access to sensitive data
