Proactive advance notification for operators shortly before an appointment

The appointment alert module proactively informs operators or staff about upcoming appointments. Unlike the regular appointment reminder, which is sent to the customer, the appointment alert is addressed to staff and serves internal preparation and organization. Especially in hectic working environments or with frequently changing appointments, the appointment alert helps staff keep track and prepare in time.

Configuration

  • Lead time: Freely selectable, e.g. "Alert 30 minutes before the appointment", "1 hour before" or "15 minutes before"
  • Notification channel: Email, SMS or push notification (depending on the system)
  • Recipients: Individuals (the responsible staff member) or teams (all staff members of a department)
  • Filtering by appointment type: Enable only for certain appointment reasons (e.g. only for important consultations, not for routine appointments)
  • Content: Customizable message with placeholders for customer name, time, appointment type and special notes

Application examples

Medical practice

Doctors and medical staff receive an SMS 15 minutes before each appointment with the patient's name, reason for the visit and room number. This lets them mentally prepare for the next patient and have the relevant documents ready.

Consulting firm

Consultants receive an email 30 minutes before a client meeting with the client history, the booked consultation topic and a link to relevant documents. This allows time for targeted preparation.

Gym

Trainers receive a notification 10 minutes before the class starts with the number of participants and the names of those registered. This lets them prepare the room accordingly.

Restaurant

Service staff receive an alert 1 hour before a larger reservation to prepare the table and take special requests into account if necessary (e.g. allergies, a high chair for children).

Technical implementation

The appointment alert is implemented via a scheduled process (cron job) that regularly checks which appointments are coming up within the configured lead time. For these appointments, a notification is automatically sent to the stored recipients. The notification can be delivered via an email server, SMS gateway or push notification service.

Distinction from the appointment reminder

  • Appointment reminder: Goes to the customer, the goal is to reduce no-shows
  • Appointment alert: Goes to staff/operators, the goal is internal preparation

Both functions can be enabled in parallel and complement each other well.

Best practices

  • Choose a lead time that leaves enough time for preparation, but not so early that the information is forgotten again
  • With several staff members: notify only the responsible staff member to avoid information overload
  • Keep the message short and concise, with only the most important information
  • For SMS: pay attention to the character length (max. 160 characters for one SMS unit)

Combination with other features

  • Calendar synchronization: Appointments with alerts can also be transferred to Outlook, Google Calendar etc.
  • Checklists: Automatically display a preparation checklist for certain appointments
  • Notes: Show internal notes about customers or appointments in the alert message
